About the Role
Job Overview: We are seeking a highly organized and detail-oriented Administrative Associate with a strong background in bookkeeping to join our team. The ideal candidate will play a crucial role in supporting daily administrative tasks, managing financial records, and ensuring the smooth functioning of our office. This position requires a keen eye for accuracy, excellent organizational skills, and proficiency in bookkeeping software.
Provide general administrative support to the team, including managing phone calls, emails, and correspondence.
Coordinate and schedule meetings, appointments, and travel arrangements for team members.
Maintain and organize office files, documents, and records.
Handle day-to-day bookkeeping tasks, including recording financial transactions, updating ledgers, and reconciling accounts.
Prepare and process invoices, receipts, and payments in a timely manner.
Maintain accurate and up-to-date financial records using accounting software.
Monitor and manage office expenses, ensuring adherence to budget guidelines.
Reconcile credit card statements and receipts, and prepare expense reports.
Communication and Collaboration:
Communicate effectively with team members, clients, and vendors.
Collaborate with other departments to ensure smooth workflow and coordination of tasks.
Proven experience as an Administrative Associate or similar role.
Solid understanding of basic accounting principles and bookkeeping practices.
Proficiency in bookkeeping software (e.g., QuickBooks, Xero) and MS Office Suite.
Strong organizational and multitasking skills with a keen attention to detail.
Excellent communication and interpersonal abilities.
Ability to work independently and as part of a team.
High level of integrity and confidentiality when handling sensitive information.
Education and Experience:
Bachelor's degree in Business Administration, Accounting, or a related field.
Minimum of 1-2 years of experience in administrative roles with a focus on bookkeeping.
